Privacy Policy

Last updated: September 2026. This Privacy Policy describes how Percipient Archives collects, uses, stores, reviews, and protects information submitted through this website.

What we collect when you record an account

If you use Record an Account, we collect the fields you enter: the name or identifier you give (you may write Anonymous), place, year if you provide one, the classification you choose, how the experience felt, an optional title, and the account itself.

We also keep a record that you agreed to this policy: an internal consent version, and the time of consent. We do not ask for an email address, telephone number, or payment details on that form. Please do not put highly sensitive personal information into the account if it is not needed to tell what happened.

If you use Beautiful Memories, we collect the loved one’s name, your name unless you submit anonymously, an optional title, the memory itself, and an optional photograph (JPEG, PNG, or WebP). If you choose to submit anonymously, the public card will read Anonymous. A name already entered may still be held for the administrator. We do not ask for an email address on that form.

If you use the Contact / Correction Request form, we collect your name, email address, the type of request, any file identifier you provide, and your message. Those fields are stored only for private review.

How submissions are held and reviewed

Record an Account and Beautiful Memories submissions are stored in the Archives’ database for review. They are created as private, pending records. They do not appear on public pages, in public search listings on this site, or in public programming interfaces unless an administrator later approves them.

An administrator may read the complete submission, then approve it, reject it, or delete it. For Record an Account, they may add a published title, summary, classification, or archival notes, and they may prepare an editorial version for the public file. The original wording you submitted is kept separately and is not overwritten by that editorial work.

Beautiful Memories are reviewed as submitted. An administrator may approve, reject, or delete a memory. Optional photographs are stored with the memory and are not shown on the public Beautiful Memories page unless that memory is approved. Rejected and unapproved memories are not published.

If a Record an Account submission is approved, all or part of it may become publicly viewable in the Archives. If a Beautiful Memory is approved, it may become publicly viewable on the Beautiful Memories page.

Technical information

To limit abuse of Record an Account, Beautiful Memories, Contact / Correction Request, sign-in, likes, and read counts, the server may store a hash derived from the network address used for the request, together with a count for a limited time window. That hash is used for rate limiting. It is not your testimony, and it is not a public profile.

On published Archive files, an anonymous identifier kept in your browser’s local storage is used so that a like can be toggled and so that repeatedly opening the same file does not immediately increase the read count. You do not need an account to read, like, or submit.

The administrator sign-in uses a session cookie after a successful login. Ordinary visitors are not asked to create an account. The introductory film, if shown, may remember that you have already entered during the current browser session.

We do not sell this information

Percipient Archives does not sell submitted personal information.

Correction or removal

You may request a correction or removal, or ask a privacy question, through the Contact / Correction Request form. That form collects your name, email address, the type of request, any identifying information you give for a file, and your message. Those requests are stored privately for the administrator and do not appear in the public Archives.

Sending a request does not automatically change or delete a record. Only an authenticated administrator may approve a correction or removal after review. No public email address is published on this site.

What not to include

Do not submit government identity numbers, financial account numbers, medical record numbers, exact home addresses, telephone numbers, or other highly sensitive details unless they are necessary to the account. Do not include private information about other people who have not agreed to be named.
